1. Information collected

The membership form collects contact, address, constituency, skills, participation preferences, comments, consent choices and an optional membership-card photograph. The candidate form collects contact and constituency preferences, service history, motivation, eligibility disclosures, ethics commitments, comments, a résumé and a biography. The contact form collects contact details, a topic and a message.

2. Sensitive identity documents

The former COI website requested passport or voter-card uploads. The redesigned public forms do not collect those documents. If identity or citizenship verification is required, the COI should arrange a separate suitable method after initial review.

3. How information is used

Information is used to assess and respond to membership and candidate applications, organise volunteers and constituency activity, respond to enquiries, maintain the integrity of party processes and satisfy applicable legal or governance obligations. It should not be sold.

4. Storage and access

Application records are stored in private platform-backed storage. Uploaded files are not intended to be publicly addressable. Access should be limited to authorised COI personnel who need the information for the relevant review or response.

5. Abuse prevention

The website applies file-size limits, verifies permitted file signatures and uses a short-lived, one-way connection hash to limit automated or repeated submissions. It does not store the originating IP address in the application record.

6. Retention

Information should be retained only for as long as reasonably necessary for the purpose collected, party-governance requirements, dispute handling or applicable law. Records that are no longer needed should be securely deleted in accordance with the COI's internal retention process.

7. External services

Donation links and some policy or archive links open external providers or the former COI website. Those services apply their own privacy, security and cookie practices. Review their terms before submitting payment or personal information.

8. Your choices

You can choose not to submit a public form. You may contact the COI to ask about access, correction or deletion of information you submitted, subject to identity verification and any lawful retention obligation.
